How to log Salesforce activity

Are you struggling to keep track of each team member’s sales activity in Salesforce? Don’t worry! It’s such a common problem that we at Concept have developed our own workflow that we roll out on many of our accounts. And rather than keeping it to ourselves, we’ve compiled a quick article that outlines how you can document the following in Salesforce yourself: 

  • How to log different sales activities: Phone Call, In-Person Visit (Site Visit) and Meeting. 
  • Explain Activity Tracking meeting outcome updater 
  • Last Meaningful Interaction 
  • Last In-Person Visit Date 

Activities can be logged on the account, opportunity, contact or lead. Activities are types of interactions you have with a customer or prospect.  

The type of activity will determine how the Last Meaningful Interaction and Last In-Person Visit date fields on the account are updated.

Under the Activity tab click the phone icon labeled: Log a Call

  1. Select a Call Outcome: A call outcome defines what happened on the call. The following values are available 
    • Conversation: Connected and had meaningful interaction with someone. 
      • When you select this option it will update the Last Meaningful Interaction field on the account 
    • Gatekeeper: Conversation with someone who is not a decision maker, but the conversation is worth noting.  
    • Left a Message 
    • No Answer

Next select a Key Topic for the picklist values

Add notes in the comments text field that are relevant to the call and then click save. how-to-log-activity-in-salesforce-image-5
Once ‘Saved’, the Last Meaningful Interaction (Date) will automatically be populated if the Call Outcome is Conversation.

How To Log An On-Site Visit or Meeting 

This is when a sales rep or sales person has a face to face interaction or meeting with a person. 

You'll see this next to the log a call.

Same as logging a call, select Key Topics and add comments. Click Save. A call outcome is not needed for a site visit because we know we have talked to someone. 

Once Saved, it will appear in the Activity timeline as a Site Visit

Once Saved, the Last Meaningful Interaction and Last In-Person fields will update.

How To Log A Meeting In Salesforce 

A meeting is defined as a scheduled appointment in the future with a customer or prospect. Meetings can be in person or virtual, such as a scheduled phone call or webinar. When tracking meetings in Salesforce, they can be associated with specific opportunities that you are trying to close or with a general account. They can also be associated with a particular contact. 

Logging a meeting is similar to logging a site visit – it can be in-person or virtual 

To the right of log a call, click Meeting.

how-to-log-activity-in-salesforce-image-12You’ll notice Start and End Date fields. Populate the scheduled time and date for this meeting and any notes in the description.

Once a meeting has passed, it will appear on the Activity Meeting tab. By providing a meeting outcome, Salesforce will track whether: 

  • The meeting occurred (Completed). 
  • The meeting was canceled. 
  • The meeting was rescheduled. 

how-to-log-activity-in-salesforce-image-15The Meeting Outcome Updater looks for “My Meetings” – it cycles through past meetings that do not have a ‘Meeting Outcome’ populated.  

Provide an outcome of the meeting by selecting one of the following:  

  • Cancelled
  • Rescheduled 
  • Completed

Put your meeting notes and click update.

how-to-log-activity-in-salesforce-image-18The related Meeting is updated with the provided ‘Meeting outcome’ and ‘meeting outcome notes’ – the ‘notes’ are not visible to any others that may be on the actual invite – so, these are considered internal notes for sales purposes.
